We are seeking a motivated and detail-oriented Virtual Assistant / Administrative Support Specialist to join our remote team. This role is responsible for providing administrative assistance, client support, scheduling coordination, and general operational support in a remote work environment.
Key Responsibilities- Respond to client inquiries via email, phone, chat, and other communication platforms in a professional and timely manner
- Manage calendars, appointments, and scheduling requests
- Perform data entry and maintain accurate records and documentation
- Assist with customer service inquiries and client follow-up communications
- Coordinate meetings and maintain organized schedules for internal teams and clients
- Prepare reports, correspondence, presentations, and other administrative documents as needed
- Monitor and organize incoming communications and prioritize tasks appropriately
- Update and maintain CRM systems, databases, and internal records
- Support project coordination and administrative workflows across departments
- Identify and resolve routine client concerns while escalating complex issues when appropriate
- Maintain confidentiality when handling sensitive company and client information
- High school diploma or equivalent
- Strong written and verbal communication skills
- Excellent organizational and time-management abilities
- Strong attention to detail and accuracy
- Ability to work independently in a remote environment
- Proficiency with Microsoft Office, Google Workspace, and common business software applications
- Reliable internet connection and dedicated workspace
- Ability to manage multiple tasks and deadlines effectively
- Previous experience in administrative support, customer service, virtual assistance, or office administration
- Experience using CRM systems, scheduling software, or project management tools
- Familiarity with Zoom, Microsoft Teams, Slack, or similar communication platforms
