JOB DESCRIPTION
Job Title: Sales Support
Department: Sales
Reports to: CSR & Sales Coordinator Manager
Effective Date: April 2026
Summary: Works closely with Sales Coordinator(s), sales representatives, and brokers. The department is responsible for the successful implementation of new accounts and proper reporting and maintenance of current ones
Duties and Responsibilities:
- Maintain strong relationships with existing customers while developing new accounts
- Provide sales and administrative support, including handling agreements and price lists
- Assist in implementing sales strategies and campaigns to increase revenue and promote products
- Promote the growth from web sales to food service channels
- Run special reports as requested
- Assist with pricing analysis, quote generation, and margin tracking
- Prepare business letters, customer agreements, sales reports, and presentations
- Update and maintain customer information in the database (contact details, addresses, client codes, etc.), including leads and new customer accounts
- Monitor and maintain CRM data accuracy, ensuring timely updates of opportunities and pipeline activity
- Coordinate meetings via Microsoft Outlook/Teams
- Communicate and follow up on sales leads via phone and email
- Complete new customer requirements (e.g., W-9 forms, certificates of insurance, vendor forms)
- Provide customers with QA/QC documentation related to purchased goods
- Ensure compliance with company pricing policies, contracts, and customer-specific agreements
- Coordinate sample orders (prepare kits, create orders in the system and send tracking information)
- Manage new item setups in the system and ensure 3rd party platforms are updated per client
- Manage customer portals (upload documents, pricing updates, item setups, etc.)
- Handle and assist with complex customer issues and inquiries
- Act as a liaison between departments and outside sales staff
- Coordinate small trade shows
- Track convenience shows and arranges broker show needs
- Enter show invoices and track freight
- Assist in collecting and preparing product samples for photography
- Print flyers and brochures
- Provide general office support as needed
Qualifications and Skills required:
- Excellent polite and persuasive communication skills
- Passionate, hard worker and well-organized professional with power to prioritize and multitask
- Should exert sound judgment, discretion and preserve confidentiality
- Ability to meet deadlines
- Good liaison with all other department members
- Able to work in and gather a team
- Attention to detail
- Able to work independently
Supervisory Responsibilities:
- No supervisory responsibilities
Education:
- High School Graduate or GED, associate degree, or combination of education and experience will be considered as an Associate level.
- Experience 2 years or more
- Intermediate – Microsoft Office (Word, Excel, and PowerPoint) knowledge is required
Physical Demands and work environment:
- Frequent use of computers
- Clear vision
- Frequent use of hands, fingers and arms
- Frequent walk
- Able to lift 25 lbs.
