Position Overview
We are seeking a professional, organized, and customer-focused Receptionist to serve as the first point of contact for our company. The ideal candidate will provide exceptional service to visitors, clients, and team members while managing front desk operations and supporting daily administrative functions. This role requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Greet and assist visitors, clients, and vendors in a friendly and professional manner.
- Answer, screen, and route incoming calls using a multi-line phone system.
- Schedule service appointments and maintain calendars for technicians and staff.
- Coordinate meetings and assist with conference room scheduling.
- Manage incoming and outgoing correspondence, including email communications and phone inquiries.
- Perform administrative duties such as data entry, filing, scanning, proofreading, and document management.
- Receive, sort, and distribute incoming mail and packages.
- Maintain an organized and professional reception area.
- Provide administrative support to various departments as needed.
Qualifications
- Previous receptionist, administrative assistant, customer service, or office support experience preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- Experience using Google Workspace.
- Professional phone etiquette and customer service skills.
- Bilingual skills are a plus but not required.
- Experience in the plumbing, electrical, HVAC, or construction industry is preferred but not required.
Schedule
Monday – Thursday: 8:00 AM – 4:30 PM
Friday: 8:00 AM – 2:00 PM
