: We are looking for a reliable and proactive Assistant Receptionist to support our front office operations. The Assistant Receptionist will be responsible for handling incoming and outgoing mail, greeting visitors, and assisting with various administrative tasks. The ideal candidate should have excellent communication skills, a friendly demeanor, and strong organizational abilities.
Key Responsibilities:
Mail Handling: Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and packages for pickup or delivery.
Greeting Customers: Welcome visitors with a warm and professional demeanor. Notify appropriate personnel of visitor arrivals. Provide assistance and guidance as needed.
Administrative Support: Assist with various administrative tasks, including but not limited to data entry, filing, scanning, and photocopying documents. Maintain office supplies and equipment.
Answering Phones: Answer incoming calls and transfer them to the appropriate departments or individuals. Take messages and relay them promptly.
Scheduling: Assist in scheduling appointments and meetings. Coordinate conference room bookings and ensure meeting spaces are prepared.
Customer Service: Provide excellent customer service to clients, vendors, and employees. Address inquiries and requests in a timely and professional manner.
Maintaining Reception Area: Keep the reception area clean and organized. Ensure informational materials are up to date and readily available.
Requirements:
- High school diploma or equivalent.
- Previous experience in a receptionist or administrative role is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to work effectively in a fast-paced environment.
