We are hiring for a Medical Assistant Receptionist 3 at Middlesex Monmouth Gastroenterology in Freehold, NJ
About the Role:
The Medical Receptionist 3 plays a critical role in ensuring the smooth and efficient operation of a healthcare facility's front desk and patient intake processes. This position is responsible for managing patient appointments, handling inquiries, and maintaining accurate patient records with a high degree of confidentiality and professionalism. The role requires effective communication with patients, healthcare providers, and administrative staff to facilitate seamless coordination of care. The Medical Receptionist 3 also supports billing and insurance verification processes, contributing to the financial accuracy and compliance of the practice. Ultimately, this position serves as the first point of contact for patients, setting a welcoming and organized tone that enhances the overall patient experience.
Responsibilities:
- Greet and check in patients promptly and courteously, verifying personal and insurance information.
- Schedule, reschedule, and confirm patient appointments using electronic health record (EHR) systems.
- Answer incoming calls and respond to patient inquiries regarding services, appointments, and billing.
- Maintain and update patient records accurately, ensuring compliance with HIPAA and other privacy regulations.
- Coordinate with medical staff to communicate patient arrivals and manage patient flow efficiently.
- Process patient payments, co-pays, and assist with insurance verification and pre-authorizations.
- Prepare and distribute patient intake forms and ensure completion prior to appointments.
- Handle administrative tasks such as filing, faxing, and managing correspondence related to patient care.

Minimum Qualifications:
- High school diploma or equivalent.
- At least 1 year of experience in a medical receptionist or front desk role within a healthcare setting or related field.
- Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office).
- Strong knowledge of medical terminology and healthcare administrative procedures.
- Excellent communication and interpersonal skills with a professional demeanor.
Preferred Qualifications:
- Certification as a Medical Administrative Assistant (CMAA) or equivalent.
- Experience with insurance billing and verification processes.
- Familiarity with HIPAA regulations and patient privacy standards.
- Bilingual abilities, particularly in Spanish or other commonly spoken languages in the United States.
- Additional training or coursework in healthcare administration or customer service.
