Position Overview: The Project Manager will be responsible for managing all aspects of live event production from conception through completion. This role requires strong organizational skills, attention to detail, and the ability to coordinate multiple facets of event production simultaneously. The ideal candidate will have experience in live event production and a passion for creating seamless, high-quality events.
Key Responsibilities:
Project Planning & Coordination:
- Gather and analyze pre-show information to ensure all event requirements are met.
- Develop and maintain project timelines, ensuring all milestones are achieved on schedule.
- Collaborate with department heads to secure skilled positions and stage hands.
Budget Management:
- Prepare and manage event budgets, ensuring cost-effective allocation of resources.
- Monitor expenditures throughout the project life cycle and make adjustments as necessary to stay within budget.
Equipment & Logistics Management:
- Oversee the Equipment Rental Software (RMI) to ensure accurate tracking and allocation of necessary equipment.
- Coordinate with vendors and suppliers to secure equipment and materials needed for each event.
- Conduct site surveys to assess venue requirements and logistics, ensuring all technical and logistical needs are met.
Team Coordination:
- Work closely with production teams, including lighting, sound, and staging, to ensure seamless event execution.
- Acquire and schedule stage hands, and collaborate with department heads to secure specialized talent as needed.
Event Execution:
- Provide on-site management during events, ensuring that all aspects of the production are executed according to plan.
- Troubleshoot and resolve any issues that arise during the event to ensure a successful outcome.
Qualifications:
- Proven experience as a Project Manager in live event production or a related field.
- Strong understanding of event production processes, including budgeting, logistics, and technical requirements.
- Experience with Equipment Rental Software (RMI) or similar tools is preferred.
- Excellent organizational and time management skills, with the ability to manage multiple projects simultaneously.
- Strong communication and interpersonal skills, with the ability to work effectively with diverse teams.
- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
