Event Coordinator
OverviewWe are seeking a dynamic and detail-oriented Event Coordinator to join our team. The ideal candidate will be responsible for planning, organizing, and executing a variety of events, ensuring seamless experiences for clients and guests alike. This role requires excellent communication, organizational skills, and a passion for creating memorable events. The Event Coordinator will work closely with clients, vendors, and internal teams to deliver successful events that meet or exceed expectations. Previous experience in hospitality, banquet management, or event planning is highly valued. Responsibilities Coordinate all aspects of event planning from inception to completion, including venue selection, catering, entertainment, and decor. Negotiate contracts with vendors and venues to secure the best terms and services. Develop and manage event budgets, ensuring cost-effective solutions without compromising quality. Oversee event marketing efforts to promote upcoming events through various channels. Upsell additional services or packages to enhance client satisfaction and revenue. Manage guest services, ensuring a high level of hospitality and customer satisfaction throughout the event. Collaborate with catering teams, banquet staff, and other service providers to ensure smooth operations during events. Handle logistics such as setup, breakdown, and coordination of event timelines. Maintain strong communication with clients to understand their needs and provide tailored solutions. Ensure compliance with safety regulations and hotel or venue policies during all phases of event execution. Requirements Proven experience in event management, hospitality, banquet coordination, or related fields such as restaurant or hotel experience. Strong negotiation skills with vendors and clients. Excellent marketing and upselling abilities to maximize event success and revenue opportunities. Solid understanding of event marketing strategies and event planning processes. Exceptional customer service skills with a focus on guest satisfaction. Effective time management skills to handle multiple events simultaneously under tight deadlines. Organizational skills capable of managing detailed plans and coordinating diverse teams. Experience in budgeting, contracts management, catering coordination, and fundraising is preferred. Outstanding communication skills for liaising with clients, vendors, and team members effectively.
