About the Role

The Payroll Specialist is responsible for ensuring accurate and compliant processing of multi-state payroll across the U.S. This position plays a key role in maintaining financial accuracy, regulatory compliance, and a high level of service for internal stakeholders. The role partners closely with HR, finance, and external vendors to support payroll operations, reporting, and audit activities.

Key Responsibilities

• Process and reconcile multi-state, semi-monthly payroll with a high degree of accuracy
• Ensure compliance with federal, state, and local payroll laws and regulations
• Administer payroll transactions including wages, bonuses, severance, and garnishments
• Prepare payroll-related journal entries, accrals, and general ledger reconciliations
• Support quarterly and annual tax filings (W-2, 941, etc.) in coordination with vendors
• Serve as a point of contact for payroll-related inquiries
• Partner with HR on employee data updates and benefit deductions
• Maintain data integrity across payroll and financial systems
• Assist with internal and external audits
• Identify opportunities for process improvements and strengthen internal controls

• 3–5+ years of U.S. payroll experience, including multi-state processing
• Bachelor’s degree in Accounting, Finance, or related field
• Experience with payroll systems (ADP Workforce Now required; Workday a plus)
• CPP or FPC certification is a plus
• Strong knowledge of payroll regulations, tax, and compliance
• Advanced Excel skills (pivot tables, formulas)
• High attention to detail and accuracy
• Strong communication and customer service skills
• Ability to handle confidential information with integrity
• Analytical and problem-solving mindset
