Position Overview: The Operations Coordinator will play a crucial role in ensuring the smooth and efficient operation of our janitorial services. This position involves coordinating daily operations, managing schedules and work orders, tracking client KPI’s, and providing support to our cleaning teams. The ideal candidate is highly organized, detail-oriented, and possesses excellent communication skills.
Key Responsibilities:
- WO Management:
- Work Order Processing:
- Receive and review incoming work orders from clients and internal teams.
- Prioritize and assign work orders to appropriate cleaning teams based on urgency and resource availability.
- Coordination and Communication:
- Liaise with clients to clarify service requirements and address any questions or concerns related to work orders.
- Communicate effectively with cleaning staff to ensure clarity on tasks and expectations.
- Tracking and Reporting:
- Monitor the status of work orders to ensure timely completion and follow up as necessary.
- Maintain accurate records of work orders, including completion times and any issues encountered.
- Generate reports to monitor client KPI’s, analyze performance metrics and identify areas for improvement.
- Quality Assurance:
- Conduct periodic reviews of completed work orders to ensure compliance with company standards and client expectations.
- Gather feedback from clients regarding service quality and address any concerns.
- Continuous Improvement:
- Identify opportunities for process improvements in work order management and service delivery.
- Collaborate with management to implement best practices and enhance operational efficiency.
- Work Order Processing:
- Scheduling and Coordination:
- Coordinate daily cleaning schedules and staff assignments to ensure adequate coverage and efficiency.
- Communicate with clients to confirm service requirements and address any scheduling changes.
- Team Support:
- Provide ongoing support and guidance to team members, addressing any operational issues as they arise.
- Inventory Management:
- Monitor and maintain inventory levels of cleaning supplies and equipment.
- Coordinate with suppliers to ensure timely delivery of products.
- Administrative Duties:
- Maintain accurate records of service hours, staff schedules, and client communications.
- Assist in preparing reports and presentations for management meetings.
- Health and Safety Compliance:
- Ensure that all operations comply with health and safety regulations.
- Promote a culture of safety among staff and clients.
Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, or related field preferred.
- Proven experience in operations coordination or a similar role, preferably in the janitorial or facilities management industry.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Must be bi-lingual (English/Spanish)
- Proficient in Microsoft Office Suite and experience with scheduling software.
- Ability to work independently and as part of a team.
- Knowledge of health and safety regulations related to cleaning operations is a plus.
