The Administrative Assistant provides essential operational support to the organization. This role focuses on administrative coordination, organization, communication, and day-to-day office support, requiring strong attention to detail, discretion, and the ability to manage multiple tasks efficiently.
Primary responsibilities include providing administrative support to help ensure efficient office operations and effective internal coordination.
Key Responsibilities
- Administrative Support
- Provide general administrative support, including managing correspondence, answering phones, and routing inquiries appropriately.
- Create and manage tickets in Freshservice to support internal requests and issue tracking.
- Schedule meetings, maintain calendars, and assist with preparation of agendas and related materials.
- Maintain organized electronic and physical filing systems and ensure records are current and accessible.
- Support office operations by coordinating supplies, vendor communications, and routine administrative activities.
Qualifications
The ideal candidate demonstrates strong administrative capabilities, excellent organizational skills, and the ability to manage multiple priorities with accuracy and professionalism.
Soft Skills
High attention to detail, strong verbal and written communication, organization, professionalism, and problem-solving skills.
This position is an onsite at our Parsippany office, no remote work.
Preferred Qualifications
Experience supporting office administration functions in a fast-paced environment is preferred. Strong spreadsheet skills, and a customer service mindset are valued in this role.
Knowledge of invoicing, payment application, account reconciliation, and collections procedures preferred.
The successful candidate will be dependable, detail-oriented, and capable of handling sensitive information with a high degree of professionalism and confidentiality.
