At the Rescue Mission of Trenton, every day we provide life changing services—shelter, meals, recovery programs, and workforce support—to individuals experiencing homelessness, hunger, and addiction. None of this impact is possible without the dedicated professionals who keep our operations running smoothly.

We’re looking for an Administrative Assistant – Administration who thrives in a fast paced environment, enjoys solving problems, and wants to support meaningful, mission driven work.

About the Role

In this vital position, you’ll support the Manager of Administration and work closely with the Chief Operations Officer to ensure agency operations stay organized, connected, and on track. You’ll also be a welcoming first point of contact for visitors, partners, and community members.

What You’ll Do

Administrative & Operational Support
  • Provide high-level administrative assistance
  • Coordinate meetings, appointments, and travel
  • Oversee office operations, supplies, and staff directories
  • Prepare reports that help guide decision making
Front Office & Communication
  • Answer and direct phone calls professionally
  • Greet visitors and maintain a secure, welcoming environment
  • Manage mail and internal communications
  • Handle sensitive information with strict confidentiality
Agency & Facility Support
  • Assist with operational coordination, including:
    • Culinary support
    • Warehouse pick up schedules
    • Signage coordination
    • Health & Safety and CQI Committee support
  • Prepare daily operational reports
  • Support process improvements and facility projects
  • Assist with special projects as needed
What Makes You a Great Fit
  • Education: HS Diploma/GED required; Bachelor’s preferred
  • Experience: 3+ years in administrative or secretarial roles, ideally supporting leadership
  • Skills:
    • Strong organization and multitasking
    • Excellent written and verbal communication
    • Critical thinking and problem solving strength
    • Professional, detail oriented, and discreet
  • Technical:
    • Proficient in Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook)
    • Experience with Donor Perfect a plus
Schedule & Pay Rate
  • Full time, Monday–Friday, 8 AM– 4 PM
  • $20 Per Hour
