Group Travel Planning Assistant
THE ROLE
You will work directly alongside our Operations Manager to plan, coordinate, and execute 30+ international group pilgrimages simultaneously. This is the organizational backbone of our operation - keeping programs on track, clients informed, and every detail airtight. No two days are the same.WHAT YOU'LL DO
- Assist the Operations Manager in planning international group trips from booking through departure
- Communicate daily with travelers by phone and email - with patience, warmth, and professionalism
- Prepare and maintain traveler records, itineraries, and reservations
- Coordinate with vendors, suppliers, and travel partners as directed
- Proofread brochures, itineraries, and marketing materials - accuracy is non-negotiable
- Support special projects and step in wherever the team needs you
- Occasional international travel of 10-12 days may be required
WHAT YOU BRING
Must Have:- Exceptional organizational and planning skills
- Superior written and verbal communication
- Proficiency in Google Workspace (Docs, Sheets, Gmail, Drive)
- Comfort with AI tools and emerging technology
- Meticulous attention to detail
- Patience - genuine, consistent, and unshakeable
- Travel agency or group travel experience
- Accounting or bookkeeping background
- Familiarity with faith-based or pilgrimage travel
