We are a professional tax and accounting firm dedicated to providing exceptional service and personalized support to our clients. We’re looking for a detail-oriented and client-focused Client Services Administrative Assistant to join our team. This role is ideal for someone who enjoys helping people, managing multiple priorities, and contributing to a well-organized and friendly office environment.

Part-time, averaging 20 hours per week, with additional hours (up to 40 per week) available during our busy season.

Key Responsibilities:

  • Answer and direct incoming calls; take detailed messages when necessary.

  • Contact clients and prospective clients to schedule appointments or notify them when their tax returns are complete.

  • Greet and assist clients upon arrival, ensuring a professional and welcoming experience.

  • Maintain and update client information in our databases.

  • Scan and organize client documents and folders.

  • Obtain required signatures from clients, and process client payments.

  • Handle general office duties including filing, mailing, and faxing.

  • Manage office supply inventory and purchasing.

Qualifications:

  • Previous administrative or client service experience preferred (experience in a tax, accounting, or professional services office a plus).

  • Minimum of 1 year experience with QuickBooks Online.

  • Approaches challenging situations with a calm, solutions-oriented mindset.

  • Strong communication and interpersonal skills.

  • Excellent organizational skills and attention to detail.

  • Proficient with Microsoft Office and comfortable learning new software.

  • Ability to handle confidential information with professionalism and discretion.
