The Associate Director Grants & Stewardship is responsible for essential projects that support the goals of the AVP of Development, including corporate, foundation and government grants within the Office of Institutional Advancement. This position assists in the management of the donor stewardship and engagement program which includes providing donor impact/program reports, scholarship reports, contract compliance, pre- and post-award and scholarship tracking process. This position also supports the team through prospect research and the development of letters of interest and grant applications. The position will also assist in growing the donor population through discovery, qualification and solicitations as needed.
Essential Functions:
- Identify and research funding opportunities from foundations, corporations and government agencies.
- Prepare, write and submit letters of interest, proposals and reports, ensuring alignment with the funder’s priorities, institutional needs and compliance with deadlines.
- Collaborate with program staff to gather data, budget and outcomes needed for preparing applications and when awarded, reports (track program expenses).
- Track deadlines and deliverables for compliance in RE7/NXT.
- Coordinate impact reports, thank you letters and updates that show how gifts are used.
- Help prepare university update and donor recognitions through publications, events or naming opportunities.
- Scholarship Program: Research and compile needed information for donor impact reports and compliance. Ensure scholarships distributed match donor agreements and gifts and ensure RE7 tracking is accurate.
- Utilize donor database (RE7 and NXT) to help track pre- and post-award compliance, produce needed reporting and maintain accurate data.
- Assist with corporate sponsorship mailing and follow-up for annual golf event.
- Attend and assist team members at all events.
- Provide AVP with administrative support.
Other Responsibilities:
- Proactively develop skills for the use of Raiser's Edge 7 and NXT.

- Perform other duties as assigned.
Education and Experience:
- Bachelor’s degree
- Minimum 2 years-experience, preferably in a higher education institution or non-profit.
- Strong project management and organizational skills.
- Strong written and verbal communication skills; strong customer service skills.
- Goal-oriented work ethic
- Experience in accurately maintaining a donor database
- Experience providing administrative support.
- Experience or basic understanding of how to conduct online research.
- Knowledge of fundraising, alumni relations, communications, or a related field required.
- Experience working in a university or similar organizations preferred; preference is for experience in the areas of advancement or customer service-related position.
Knowledge, Skills and Abilities:
- Ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines.
- Strong interpersonal and communication skills, both written and oral.
- Ability to exercise a high degree of discretion and independent judgment.
- Ability to work collaboratively with diverse constituencies and departments.
- Working knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Working knowledge of social media platforms, including Facebook, Instagram, Twitter, and LinkedIn.
- Experience using Raiser’s Edge preferred or other CRM software.
- Experience or knowledge of research search engines (Foundation Search)
- Ability and willingness to work a flexible schedule, including weekends or nights to support fundraising events.
- Possess and maintain a valid driver’s license and have means of transportation.
