Overview:
Perform various secretarial functions of a basic nature for lower and middle level management positions, as well as for all associates at Corporate Headquarters, while performing limited administrative functions. Act as representative and contact to callers and visitors by answering telephone and greeting visitors.
Essential Job Functions:
- Type material from various standardized formats, including, but not limited to, memos, letters, reports, etc.
- Transcribe dictation, sometimes technical and confidential, using established formats and working within priorities and time frames.
- Maintain corporate and correspondence files accurately and timely.
- Prepare and/or distribute reports gathering and summarizing information when required.
- Fill supply requisitions for stores and office which requires lifting and reaching.
- Ensure adequate inventory levels are kept. Required to retrieve and put away supplies that could weight up to 30 pounds and over and may sometimes require assistance.
- Separate and distribute incoming mail timely and accurately.
- Responsible for minor housekeeping duties for executive areas and general office areas.
- Perform administrative functions that follow standard formats and may require follow-up action for yourself and others.
- Perform miscellaneous staff duties as required by supervisor, both within Office Services and within other departments at Corporate.
- Continually develop secretarial skills through work or schooling to assume greater secretarial/administrative functions.
- Exemplify a pleasant, courteous image at all times to reflect the company professionally.
- Complete all applicable department training programs.
- Maintain punctual and regular attendance.
- Work cooperatively with others.
- Perform other duties as assigned.
Minimum Required Qualifications:
The minimum required qualifications for this position include, but are not limited to the following:
- High school diploma and minimum secretarial training or work experience in order to perform the above functions accurately.
- Basic knowledge of Microsoft Office Suite.
- Ability to operate standard office equipment, including computers, telephone switchboard, fax machine, copier, postage machine, etc.
- Written and oral communication skills to effectively communicate with supervisor and peers.
- An understanding and sensitivity to the retail environment.
- Pleasant and cooperative attitude to exemplify a professional image at all times.
