Project Support Specialist:
Ghostwerks is seeking an organized and driven Project Support Specialist to assist project teams with coordination, scheduling, and administrative support tasks. This role is ideal for someone who thrives in a fast-paced environment, is highly detail-oriented, and enjoys working collaboratively across teams.
The Project Support Specialist will help track project progress, maintain project documentation, coordinate schedules, and support overall project execution to ensure tasks are completed on time and efficiently.

Essential Duties and Responsibilities
· Assist in coordinating project tasks and ensuring deadlines are met
· Track project progress and communicate issues or delays to the Project Manager
· Prepare and maintain project documentation, including status reports, meeting minutes, and project files
· Maintain and update project schedules, databases, and project management tools
· Provide administrative support to project teams, including scheduling meetings and coordinating communications
· Assist with development and maintenance of project plans and timelines
· Participate in project meetings and provide support as needed
· Track action items and follow up on outstanding tasks to ensure timely completion
· Coordinate communication between internal teams, customers, subcontractors, and stakeholders
· Prepare presentations, reports, and briefing materials for leadership reviews
· Assist with data collection, reporting metrics, and project performance tracking
· Maintain document control and ensure project documentation complies with company and customer requirements
· Support contract deliverables and compliance tracking
· Assist with risk management activities and issue resolution efforts
· Help identify process improvements to increase project efficiency and organization
· Support scheduling, resource coordination, and logistics across multiple projects
· Maintain sensitive project information with professionalism and discretion
· Collaborate with internal teams to ensure project deliverables are completed efficiently
Qualifications (Required)
Work Status:
- Must be a U.S. Citizen
- Must be able to successfully obtain a Security Clearance
Preferred Qualifications
· Background in Government contracting preferred
· Proven experience as a Project Coordinator, Project Support Specialist, or similar role
· Experience using project management software such as MS Project
· Strong organizational and multitasking abilities
· Excellent verbal and written communication skills
· Ability to work effectively in a team-oriented environment
· Proficiency in Microsoft Office Suite, especially Excel and PowerPoint
· Strong attention to detail and problem-solving skills
· Ability to manage multiple priorities in a fast-paced environment

- Customer Location: On-Site – Picatinny Arsenal Wharton, NJ
- Type of environment: office
- Noise level: Mid-High – Mid
- Work schedule: Schedule is customer core business working hours, typically between 7am-5pm.
- Amount of Travel: Less than 5%
