Key Responsibilities
Daily Financial Operations
· Record daily financial transactions and maintain the general ledger.
· Enter all vendor bills and process payments.
· Reconcile the operating bank account daily.
· Maintain organized financial records and documentation.
Accounts Payable / Receivable
· Enter and process invoices.
· Issue vendor payments.
· Set up and manage ACH payments for vendors.
· Update vendor account contact information as needed.
Banking & Cash Flow
· Monitor company cash flow.
· Transfer funds weekly from the operating account to the payroll account.
· Assist management with financial reporting and budgeting information.
Payroll Support
· Ensure payroll funds are transferred every Monday.
· Assist with payroll processing when needed.
Taxes & Compliance
· Prepare and file monthly sales tax returns.
· Maintain compliance with financial reporting requirements.
Insurance Administration
Manage and reconcile company insurance policies including:
· Medical Insurance
· Liability Insurance
· Auto Insurance
· Worker’s Compensation
· Monthly reconciliation and annual renewals.
· Add new employees and remove terminated employees from insurance coverage.
Required Skills & Qualifications
Required
· Strong QuickBooks experience.
· Experience preparing and filing sales tax returns.
· Strong attention to detail and financial accuracy.
· Ability to reconcile accounts and identify discrepancies.
· Strong organizational and time management skills.
· Experience managing accounts payable and vendor payments.
Preferred
· Bookkeeping or accounting experience in a small business environment.
· Experience with payroll processing.
· Accounting certificate or degree (helpful but not required).
· QuickBooks certification.
Ideal Candidate
We are looking for someone who is reliable, detail-oriented, comfortable working with financial data daily, able to work closely with management and office staff, and organized and proactive in managing deadlines and financial records. This role will work closely with our office team, so we are looking for someone who will be a good fit with our staff and company culture.
Schedule
Full-Time/ Part- time
Monday – Friday
In-Office Position (Lakewood, NJ) Possibly remote at times
