POSITION SUMMARY:
Under the general direction of the Associate Executive Director of the South Mountain YMCA, the Welcome Center Administrator is responsible for all member service functions of that branch. Major areas of responsibility and accountability include, but are not limited to; providing quality customer to all members, building relationships with members, creating and following procedures as it relates to program sale protocols. The Welcome Center Administrator will support 3rd party payment partners. The Welcome Center Administrator will be required to develop a thorough understanding of Association software programs. This position will also serve as the registrar for the School Age Child Care Program (SACC).
ESSENTIAL FUNCTIONS:
1. Responsible for the administration and operation of the Welcome Center.
2. Create a positive, customer focused member experience approach with staff by ensuring mission driven hiring, supervision, motivation, training, and performance management.
3. Maintain accurate database on all programs
4. Maintain all registrations for participants per Association procedures.
5. Serve as the registrar for the SACC Program
6. Effectively communicate with SACC Team and Association Services support team to ensure SACC positions are being filled in a timely manor
7. Support Branch Program Directors with program reports and rosters through Association Software.
8. Work as needed with Brach Leadership and department heads on financial reports.
9. Manage the accurate processing of all revenue passing through the branch.
10. Process all miscellaneous transactions in database (rentals).
11. Resolve any accounts payable/receivable vendor issues.
12. Review the daily cash reconciliation and end-of-shift work.
13. Support daily bank deposits and ensure delivery to the bank.
14. Assist with providing tours to visitors and potential members and the follow-up process on a timely basis.
15. Assist with Branch promotional activities throughout the year as required and participate in special events, such as open houses; participate in Association-wide activities and events as required.
16. Monitor and maintain office supplies and equipment. Oversee copier operation and supplies
17. Attend all trainings and meetings as required.
OTHER DUTIES:
1. Participate in and support the Annual Campaign.
2. Participate in workshops, trainings and seminars that will enhance professional growth.
3. Participate on staff committees as requested or necessary including Association quality teams.
4. Share responsibility for the success of the overall Branch performance and help maintain a positive image for the South Mountain YMCA
5. Demonstrate and model the YMCA’s four core values of Caring, Honesty, Respect, and Responsibility.
6. Exhibit personal and professional behavior in a manner consistent with the best interest of the Association, so as not to bring discredit to the Association.
7. Perform such other job-related duties as may be periodically assigned by the Supervisor.

Requirements:QUALIFICATIONS:
1. High School diploma is required; Associate Degree in Business Administration or related field preferred.
2. Minimum of two three years successful experience working within a business administration capacity.
3. Strong office management skills.
4. Strong time management and organizational skills.
5. Proficient in computers and Microsoft Office applications including Word, Excel, and PowerPoint; Internet Search.
6. Strong member service and interpersonal skills.
7. Strong communication skills, both written and verbal.
8. Ability to communicate with a wide variety of members and guests in a professional manner, displaying tact and diplomacy when needed.
9. Ability to work under minimal supervision.
PHYSICAL DEMANDS:
Sufficient strength, ability, agility and mobility to perform essential functions and to perform activities in a wide variety of indoor and outdoor locations.
EFFECT ON END RESULTS:
The expectation of this position will be satisfactorily met when:
· All membership transactions are completed accurately and in a timely manner.
· SACC participants are enrolled (or un-enrolled) in a timely manor
· All records and files are current and organized at all times.
· Excellent communication is maintained among staff, members, the community, and all staff at the South Mountain YMCA as well as all branches of the Metro YMCAs of the Oranges.
· A positive image of the YMCA is maintained.
