Position Title: Administrative Coordinator
Employment Type: Part-Time, Hourly
Hourly Rate: $23/hr
Job Description: The Cash and Administrative Coordinator plays a critical role in ensuring the smooth execution of daily cash management operations and workforce scheduling. This position requires strong attention to detail, accuracy, and organizational skills to oversee cash handling, deposits, and reconciliation, while also managing employee shift schedules and payroll approvals. The ideal candidate will be a proactive problem-solver with experience in financial operations, team coordination, and scheduling.
Roles and Responsibilities
Operational Management & Cash Handling:
- Manage daily cash operations, including verifying and counting daily deposits, setting up cash drawers, and coordinating weekly cash pickups (5 days per week - Thursday to Monday; approx. 4-5 hours per day - 9am to 1pm).
- Partner with the Accounting Team to oversee cash management, including coordinating daily deposits, managing change orders with a third-party company, handling cash reconciliation, and resolving related queries.
- Oversee weekly tip reconciliations and ensure timely bank deposits.
- Communicate cash variances and discrepancies to the General Manager.
- Train new leadership in proper cash handling and deposit procedures and best practices to ensure compliance with company policies.
Scheduling & Payroll Management:
- Develop and manage employee shift schedules in alignment with approved labor shifts from the General Manager.
- Issue finalized shift schedules at least two weeks before the start of each month.
- Verify employee hours and approve payroll on a weekly basis to ensure accurate and timely compensation.
- Conduct weekly verification of timecards to maintain accurate payroll records.
Qualifications & Skills:
- Previous experience in cash handling, financial operations, or retail management preferred.
- Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
- Attention to detail and accuracy in financial transactions and reporting.
- Proficiency in scheduling and payroll management software.
- Excellent communication and problem-solving abilities.
- Ability to work in a fast-paced environment while maintaining a high level of integrity and accountability.
