Job Overview:

Provides administrative support to ensure efficient operation of unit/dept.

Qualifications:

Required:

  • Associate’s degree with 1 year administrative/office experience
  • Proficiency in MS Word, Excel and Outlook is required. Strong typing skills are required
  • Well organized, motivated, and have initiative with attention to detail
  • Works well independently and as part of a team. Proactive in meeting the team’s needs
  • Commitment to working with clients with compassion and empathy for underserved populations
  • Strong verbal and written communication and organizational skills to effectively work and communicate with clients, service providers, hospital staff and TRAC team
  • Punctual and reliable
  • Able to work in stressful situations and problem solve

Preferred:

  • Bilingual Spanish speaking preferred
  • Previous experience in a hospital or behavioral health setting preferred

Scheduling Functions:

  • Shift-8:30am-4:30pm
  • Monday-Friday
  • Full Time/ Day

Essential Functions:

  • Greets and schedules consumers for appointments
  • Professionally answers phones and emails and responds to general consumer inquiries
  • Compiles reports as needed
  • Carries out clerical duties such as filing, typing, copying and scanning
  • Manages general clinic area and contacts appropriate party to address any issues
  • Maintains necessary databases (employee checklist, hospital compliance list, etc.)
  • Handles team members’ requests for supplies, including equipment/phone issues
  • Maintains supplies inventory
  • Maintains compliance with all organizational policies and procedures
  • Attends staff meetings, workshops, trainings and supervision
  • Other responsibilities as assigned by management
