We are looking for a detail-oriented and personable Administrative Assistant/Receptionist to join a team on a long-term contract basis in Camden, New Jersey. This role is fully onsite and offers the opportunity to work in a calm and steady-paced environment. As the first point of contact for visitors and callers, you will play an integral role in ensuring smooth operations and excellent service.
Responsibilities:
• Greet visitors warmly and ensure they are directed to the appropriate person or department.
• Manage a multi-line phone system, including answering, transferring, and directing inbound calls efficiently.
• Maintain an organized and welcoming reception area, ensuring it reflects a detail-oriented image.
• Handle administrative tasks such as scheduling appointments, managing correspondence, and maintaining records.
• Assist with coordinating internal communications and providing support to various departments as needed.
• Monitor and manage office supplies, placing orders when necessary to ensure smooth daily operations.
• Address inquiries from staff, clients, and visitors in a detail-oriented and courteous manner.
• Uphold confidentiality and security protocols when handling sensitive information.
• Collaborate with team members to improve processes and enhance the overall office experience.
• A minimum of 3 years of experience in a receptionist or administrative support role.• Proficiency in managing a multi-line phone system or switchboard with 1-10 lines.
• Strong interpersonal and communication skills, with a customer-focused attitude.
• Excellent organizational abilities and attention to detail.
• Familiarity with basic office equipment and technology, including scheduling tools and email systems.
• Ability to handle multiple tasks efficiently in a calm and detail-oriented manner.
• High level of discretion when managing confidential information.
• Availability to work onsite during designated hours, including a 30-minute lunch break.
