Job Overview:

The Purchasing Coordinator (Expediter) is responsible for ensuring timely processing, confirmation, and delivery of purchase orders. This role supports the procurement team by managing touchless order workflows, following up with suppliers and carriers to confirm delivery dates, and proactively resolving any delays or issues. The Expediter will update purchase order records with confirmed information using vendor communication or tracking software and notify requesters or departments of any delivery changes. Strong attention to detail, communication skills, and the ability to manage multiple priorities are essential for success in this role.

Qualifications:

Required:

  • High School Diploma or GED required.
  • Two years of business experience.
  • Demonstrate proficiency in Microsoft Office applications.
  • Able to perform basic mathematical calculations, balance and reconcile figures, possess good communication, written and verbal, skills.

Preferred:

  • Strongly prefer experience within hospitals with PeopleSoft a plus.

Scheduling Requirements:

  • Full-Time, Day, Hourly

Essential Functions:

  • Process, confirm, expedite, and reconcile touchless orders.
  • Reviews and expedites purchase orders that are past their scheduled delivery date/ time or require follow up delivery information.
  • Ensures a PO Expedite comment is entered on the purchase order.
  • Research may be required for the purpose of item review, purchase order review, or audit.
  • Shipment tracking is available but not limited to direct contact with the supplier, courier service, VPL, GHX, FedEx, USPS, and UPS.
  • Effective tracking of an order is best accomplished with an understanding of the carriers handling of the freight to the specific location.
  • Utilizes department specific reports to include but not limited to GHX CCX, Vizient GPO, PeopleSoft, and Tableau.
  • Responds to Supply Chain Customer Service tickets regarding the expediting of orders.
  • Balances workload with minimum interactions with leadership while adhering to timelines and deadlines.
  • Informs management and end users of delays or complications within the process.
  • Handles special projects as needed.
  • Process and maintain workload within departmental performance standards.
  • Produces updates, emails, and other communication in a clear and effective manner.
  • Establish and maintain rapport through effective communication and timely follow-up with customers, coworkers, management, and outside agencies/vendors.
  • Perform other duties as assigned

  • Work is performed in a fast paced and challenging office environment.
  • Work may be stressful at times.
  • Contact may involve dealing with angry or upset people.
  • Staff must remain flexible and available to provide staffing assistance for any and all disaster or emergency situations,

Physical Demands

  • Requires prolonged sitting and computer use; requires hand eye coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment.
  • Requires normal range of hearing and eyesight to record, prepare and communicate reports
